Job Description

THE POSITION:

We are seeking a detail-oriented Medical Affairs Operations Coordinator to support the Global Medical Affairs (GMA) team in delivering efficient, high-quality, and operationally robust services. This individual will contribute to strengthening recruitment processes, enabling smooth onboarding of new hires, and support client project management and forecasting to ensure optimal resource utilization across the GMA function. The ideal candidate will play a key role in enhancing project management practices by developing and maintaining trackers, timelines, and operational tools that improve visibility, planning accuracy, and overall execution.

In this position, you will collaborate closely with cross‑functional teams to improve internal workflows and support documentation excellence that reinforces GMA operational standards. You will also help drive operational efficiency by identifying process gaps, maintaining accurate records, and supporting training initiatives.

ESSENTIAL DUTIES AND RESPONSIBILITIES:
Our employees are tasked with delivering excellent business results through the efforts of their teams. These results are achieved by:

  • Support end-to-end recruitment activities, including candidate coordination, documentation, and onboarding of new hires (FTEs, consultants / contractors) into the GMA function.
  • Assist in staff forecasting by maintaining headcount projections, capacity assessments, and resource planning trackers.
  • Improve project management efficiency through the creation, updating, and maintenance of project trackers, timelines, and progress dashboards.
  • Coordinate and communicate effectively with clients, organize and lead project kick‑off meetings, and provide ongoing support while working primarily in US time zones.
  • Collaborate with the MA team to project timelines for project completion and ensure deliverables are monitored and met.
  • Develop and maintain internal SOPs, process documents, and operational guidelines to enhance MA efficiency.
  • Create clear, professional slide decks and presentations for internal and leadership-level communication.
  • Provide training support and assist in onboarding programs, orientation materials, and documentation.
  • Maintain accurate records, documentation, and operational data to support audits, reviews, and business insights.
  • Identify opportunities to streamline workflows and optimize operational processes within the MA team.

Qualifications

MINIMUM KNOWLEDGE, SKILLS, AND ABILITIES:

The requirements listed below are representative of the experience, education, knowledge, skill and/or abilities required.

  • Education: Bachelor’s degree in Life Sciences/Pharmacy/Medicine, complemented by a degree or formal training in Management.
  • Experience and/or Training: Experience in Project Management, Medical Affairs operations, project coordination, or similar operational support roles
  • Technology/Equipment: Proficient in using project management and collaboration tools such as Smartsheet, MS Project, Excel, PowerPoint, SharePoint, and workflow‑mapping tools (e.g., Visio/Miro) to plan, track, and manage timelines and operational activities effectively.
  • Strong organizational skills with exceptional attention to detail and accuracy.
  • Proficiency in documentation, SOP creation, and maintaining structured records.
  • Ability to develop professional, well‑designed slide decks (PowerPoint) and operational reports.
  • Excellent communication skills with strong stakeholder coordination capabilities.
  • Ability to multitask, prioritize effectively, and perform well in a fast‑paced environment.
  • Strong analytical thinking and problem‑solving mindset

PREFERRED QUALIFICATIONS:

  • Education: Advanced healthcare and Management degree.
  • Experience and/or Training: At least two years in Medical Affairs Excellence and Operations within the pharmaceutical industry or related role and function.
