The Role
We are looking for a dynamic, highly organized professional to join our team as a full-time Events Coordinator. In this role, you will lead the planning and execution of events that foster connection, collaboration, and growth—both within our team and across our broader network. The ideal candidate will possess exceptional project management skills, a keen eye for detail, and a genuine enthusiasm for engaging with people. You will play a vital role in ensuring clear, effective communication internally and externally, while bringing creative ideas to life with precision and excellence.
What you'll be doing:
Event Production:
Plan and execute all M13 events, in partnership with the LA & NY Office leads. Events may vary from small dinners (10-20pp), to larger tentpole events (100-200pp)
Ensure every event is best in class and accurately reflects M13’s brand values and guidelines, with thoughtful touchpoints and a guest-first experience
Lead onsite event execution with a willingness to work events during day or evening hours; travel as needed
Project Management:
Manage events project planning in excel/google docs, Asana, LUMA and any other relevant systems
Own internal team communications related to events and other community programs via Slack and email
Schedule event kick-off meetings, circulate event brief prior, and ensure all stakeholders are aligned and across all details relevant to the event
Communicate event details to all stakeholders including the event host and all attendees
Maintain the M13 events playbook, ensuring it is rolled out firm-wide to educate, train and optimize processes
Vendor Management:
Manage all vendor relationships and orchestrate all aspects of event logistics, including venue sourcing and contract negotiation, catering, rentals, AV/IT coordination, registration processes, staffing, name badge production, photography, and branded materials
Manage M13’s database for venues and vendors, keeping up to date and adding additional vendors
Event Tracking & Reporting:
Oversee registration processes and provide comprehensive support across event platforms, including website setup (when applicable), invitation design, guest list management, RSVP tracking, attendee monitoring, and pre- and post-event reporting through HubSpot
Ensure all event-related data is properly imputed into the CRM in collaboration with the Propulsion team
Prepare and disseminate pre- and post-event reports, including attendance metrics, survey insights, and budget summaries; provide the firm with monthly event recaps and upcoming event notifications
Budget Tracking & Reporting:
Own the M13 events budget, ensuring events are at or below budget; work closely with accounting to track and approve invoices
Negotiate and scope out vendor options and keep a running list/track record
Collaborate with internal stakeholders to ensure that the firm-wide events budget is up to date
What you bring to the role:
Excitement to work out of the NY office the majority of the time
Previous experience in event planning and production
Team player; No task is too big or too small mentality
Strong project management skills and ability to juggle competing deadlines
Excellent communication skills, both written and verbal
Attention to detail and ability to multitask effectively
Self-motivated, proactive, and able to work independently
Willingness to work flexible hours and travel as needed
Design experience preferred but not required
