Position Overview
We are seeking an experienced Accountant & Office Manager to join the team at Green Summit in Cocoa Beach, FL. This part-time position is central to the financial health and operational compliance of Green Summit's growing, multi-state organization. The role is built around three core areas of responsibility: bookkeeping, ADP payroll management, and multi-state tax filings and regulatory compliance.
The ideal candidate is highly detail-oriented, organized, and confident working independently to keep financial records accurate and the company compliant across multiple jurisdictions.
Key Responsibilities
1. Bookkeeping & Financial Management
- Maintain accurate financial records using QuickBooks Online (advanced proficiency required)
- Perform general ledger management, journal entries, and account reconciliations
- Manage accounts payable and accounts receivable
- Support monthly and year-end financial close procedures
- Prepare financial reports for management review
2. ADP Payroll Management
- Manage and process payroll through the ADP payroll platform
- Ensure accurate payroll calculations including wages, deductions, benefits, PTO, commissions, and taxes
- Administer multi-state payroll compliance requirements
- Coordinate payroll tax reporting and filings across all active states
3. State Registrations, Tax Filings & Regulatory Requirements
- File and maintain Department of State foreign entity registrations across multiple states
- Manage corporate compliance including annual reports and business license renewals
- Prepare and file state Department of Revenue tax returns, including:
- Payroll withholding taxes (coordinated through ADP)
- Business & Occupation taxes
- Gross receipts taxes
- Franchise taxes
- Monitor filing deadlines to ensure timely, accurate submissions across all jurisdictions
- Coordinate with internal staff to ensure new state registrations are completed prior to the start of operations in each state
Administrative & Office Support
- Maintain organized financial and compliance documentation
- Support leadership with financial and operational reporting
- Serve as the point of contact for outside accountants, payroll providers, and tax professionals
Required Qualifications
- Advanced QuickBooks experience (required)
- Strong hands-on experience with ADP payroll systems (or similar systems)
- Proven experience managing multi-state payroll and tax filings
- Knowledge of Department of State foreign entity registration processes
- Experience filing Department of Revenue tax reports across multiple states
- Exceptional attention to detail and organizational skills
- Ability to independently manage multiple deadlines and regulatory requirements
- Strong communication and problem-solving skills
Preferred Qualifications
- Experience supporting multi-state businesses in professional services, consulting, engineering, or tax credit industries
- Experience implementing accounting software (Sage, NetSuite, etc.)
- Background working with rapidly growing companies
- Associate's or Bachelor's degree in Accounting, Finance, or a related field
This is a part-time, on-site position based in Cocoa Beach, FL. Candidates must be local or able to reliably commute.
