Transport & Facilities Lead

About the Role
We are looking for an experienced Transport & Facilities Lead to manage end-to-end employee transportation operations (60%) along with administrative and facility management functions (40%). The role ensures safe, compliant, and cost-effective transport services while supporting smooth day-to-day office and facility operations for a Mid size employee base.
What You’ll Do
Transport Management (60%)
- Manage end-to-end employee transportation operations including route planning, scheduling, vendor coordination, and daily fleet management.
- Willingness to work in rotational shifts (Morning, Evening & Night) to support 24x7 operations.
- Ensure 100% compliance with safety, statutory, and company transport policies including driver verification, cab audits, GPS tracking, and night shift protocols.
- Manage transport vendors including onboarding, SLA adherence, performance reviews, and commercial negotiations.
- Monitor transport costs, billing accuracy, MIS reporting, and monthly invoice reconciliation to ensure budget adherence.
- Handle transport-related escalations, incidents, and audits with timely corrective and preventive actions.
- Drive continuous process improvements for optimized fleet utilization, better route planning, improved employee experience, and cost efficiency.
Administration & Facilities Management (40%)
- Manage Integrated Facility Management (IFM) services including housekeeping, security, pantry, maintenance, and support services.
- Coordinate with landlords, building management teams, and internal stakeholders for seamless facility operations.
- Oversee AMC contracts, asset and inventory management, office supplies, and vendor payments.
- Ensure compliance with statutory regulations, safety standards, hygiene norms, and workplace policies.
- Prepare periodic administration MIS reports, track budget utilization, and implement cost-optimization initiatives.
Stakeholder Management
- Act as the Point of Contact for employees, vendors, internal teams, and leadership for transport and administration matters.
- Ensure clear and timely communication with employees, internal stakeholders, and leadership.
What You Bring
- 7 to 10 years of experience in Ground Transport Operations and Facilities Management.
- Experience working in a reputed organization with 500–1000+ employee strength.
- Strong knowledge of transport compliance, safety regulations, and vendor management.
- Proven ability to manage budgets, multiple vendors, and operational escalations.
- Decent communication, coordination, and stakeholder management skills.
